Student Prox Card Initial Load
Parent Business Activity/Process:
The Undergraduate Housing file must contain freshmen information.
The Graduate Housing file must contain information on first year graduates living in the Old Graduate College Dorm (OGCD) and the New Graduate College Dorm (NGCD).
The Registrars file must contain information on Graduate students with Engineering degrees.
The Person database must contain information on freshmen, first year graduates and re-admits.
The initial load of students into the Prox Card file is done in August of each year. The Prox cards need to be ready to hand out to the qualified students during Registration in September. This initial load creates a file used to update the Prox Card file on the VAX. In addition, labels with identification information are created which are affixed to the individual envelope containing the Prox card.
An OS Prox Card file which is later downloaded to the VAX. The actual Prox Card file resides on the VAX.
The load must be done in August of each year in preparation for distribution during Registration in September.
Standard Path Events/Activities:
A batch job (ASPROXLD) is run by the ID Card Office to create a file to be used as an update to the Prox Card file and labels to affix to each envelope containing a Prox card. After the file has been created, the ID Card Office will invoke a procedure to move the OS file down to the PC, then the file is moved to the VAX, where the file is used as input to the Prox Card System and loaded.

A starting Prox Card number indicates where the numbering process should begin, for batch job ASPROXLD. The ID Card Office inputs this number, based on the first available Prox card.
Labels are created which are then affixed to separate envelopes, each which will contain a Prox card, before distribution.
The Registrars Office, Undergraduate Housing Office and Graduate Housing Office must have incoming student information loaded.
