Fit/Gap Analysis Planning Phase

In this phase, a preliminary plan is developed for the fit/gap analysis phase of the project. This is the phase where the scope of the fit/gap analysis is set, resources for the fit/gap analysis are planned, and the milestones and deadlines of the fit/gap analysis phase are set.

The primary participants in this phase are the members of the core team, and any extended team members required for the scheduling and planning of resources.

Deliverables

Fit/Gap Analysis Phase Section of the Project Plan
This documents the work breakdown structure and schedule for the fit/gap analysis phase of the project, including any updates to the resource plan and other sections of the Project Plan for the fit/gap analysis steps. The work breakdown structure and schedule are produced in Microsoft Project. At this time, there is no template for the Microsoft Project plan.
Methodology Compliance Form
This form is initialized by the project team, and completed by a methodology representative who has reviewed the project documentation and found it acceptable. It is completed in Word.

Steps

  1. The team reviews the assessment documents, requirements documents, and other documentation from previous phases, including any documentation provided by the vendor.
  2. The team creates a work breakdown structure for the fit/gap analysis phase of the project, by listing all the tasks that must be completed in the fit/gap analysis phase, and determining the dependencies between the tasks.
  3. When the tasks have been identified, the team determines what resources are required for each task. These resources can be drawn from the business function group(s) that will be using the package, as well as any technical representatives required from CIT. This resource list identifies the extended team for the fit/gap analysis phase.
  4. A representative from the team updates the project plan in MS Project by entering the work breakdown structure and resource assignments. MS Project can then create a timeline and schedule for the fit/gap analysis phase. The Gantt chart for the fit/gap analysis phase is then attached to the Project Plan.
  5. The team forwards the Project Plan with the new Fit/Gap Analysis Phase Section to the methodology representative for review. The methodology representative reviews the documents for compliance, and completes the Compliance Form. If the documents conform to methodology requirements, they are returned with the completed compliance form to the team, which then proceeds with the next step.
  6. If the documents do not conform to the methodology requirements, the documents and the compliance form are returned to the team with an explanation of what is wrong. The team then corrects the documents as required and returns them to the methodology representative for a follow-up review. When the reviewer approves the deliverables, the team continues with the next step.

  7. The project sponsor and DMS Director determine when the required resources for the fit/gap analysis phase will be available, providing a start date for the fit/gap analysis phase of the project.
